Email Onboarding mainly consists of the following six phases:

  • Onboarding Workspace
  • Technical Kick-Off Meeting
  • Deliverability Crash Course
  • Domain Set-Up & DNS Configuration
  • Warm-Up Plan
  • Warm-Up Execution

Onboarding Workspace

Insider One team will share the Onboarding Workspace with you to kick off your onboarding. Insider One will use your answers in this document to configure and tailor the Email product for your account regarding your brand's needs. For this reason, you should add your responses as accurately as possible.

Technical Kick-Off Meeting

Once you complete the Onboarding Workspace document, the Insider One team or your Customer Success Manager will contact you to schedule a technical kick-off meeting. This meeting aims to build an onboarding strategy that fits your brand best based on the feedback provided in the Onboarding Workspace step.

Deliverability Crash Course

Soon after that, you will receive an invitation to our Deliverability Crash Course. This short course will bring you up to speed on the latest best practices in email deliverability. You can also ask everything you ever wanted to ask about email deliverability.

Domain Set-Up & DNS Configuration

Meanwhile, Insider One will set up your email marketing account and your email domain. This email domain must be a subdomain (not a domain) that will be in use with Insider One only. As part of the email domain setup, you will be asked to configure a set of DNS records, which your IT team will know how to handle.

Warm-Up Plan

We will provide you with a warm-up plan. This warm-up plan will guide you through building a reputation for your new email domain. Mailbox providers typically send a portion of your emails to spam folders until you warm up your email domain. That's why it's important that you follow it carefully. Prepare interesting content and send it to your most engaged users while respecting the warm-up plan's volume restrictions; that's what warming up boils down too. The Insider One Deliverability team will monitor the essential data (e.g., key metrics, mailbox provider reputation tools, blacklists, bounce logs, etc.). You will regularly receive updates on how the warm-up is progressing and be alerted if any issues arise during the process.

Warm-Up Execution

A typical warmup takes 2 to 4 weeks to fully execute, depending on the size and quality of your user list. Once the warm-up is complete, you will have built a strong reputation for your email domain, and mailbox providers will happily deliver your emails to your users' inboxes. This will help your email campaigns generate high delivery rates and open rates. The Insider One Deliverability team will contact you to confirm the wrap-up of the warm-up and let you know which pitfalls to watch out for as you transition back to your conventional sending routine.
